Product customization printing; engraving etc in Brightpearl Video Lecture | Using Brightpearl: Product Management - Data & Analytics

in this video we're going to spend some
time looking at customizing products so
product customization is the
modification of products on a per order
basis so your customer gives you an
order and says how they'd like the
product modified examples could be
printing an image or graphic on two
garments or canvas engraving on two pens
or promotional items or custom paint
jobs or custom lens grinding you get the
idea so what customization is not is pre
printing building or engraving for stock
in other words building up a buffer
before the customers order has arrived
because what you need to do there is
track inventory levels of the stock
which means it needs its own skew and
typically that's an assembly where you
take other items plus some labor and
build another finished product
customization is also not combining
inventory track components into a kit
and that's what we use a bundle for and
there's a separate video which
introduces you to all of these different
concepts with examples in this tutorial
we're going to take a red bobble hat and
we're going to apply some embroidery
specific to this customer I'm going to
create this sale manually and in a short
while i'll show you how this works with
the economy sales channels so here we
have an empty sale for a customer and
let's just add the red bobble hat and i
can see we've got some large in stock
the customer wants 10 and here's where
we start the customization at the moment
this is just the base hat with nothing
specific added to it all I need to do is
hit enter on the product description and
type in the specific information for
this particular order I'll then hit save
and then because we don't want to sell
this inventory to anybody else it's
important that i allocate this sale so
let's it allocate all and then save
again and what you put in is that
description is up to you you can have as
many lines as you like but here in the
example where we've got a logo file I've
actually got the files tab and I've
uploaded the file itself so my team can
see exactly what logo needs to go on if
you've connected your Brightpearl
account up to a Magento BigCommerce or
Shopify store this is how custom
attributes are downloaded into
Brightpearl the Brightpearl inventory
attribute is the size and that
differentiates the inventory items that
we keep on the shelf the custom
attribute which is going to be different
on a per sale basis is
the logo so customization is supported
on our magento integration our Shopify
integration our bigcommerce integration
of course creating sales on the phone or
using the back office but it's not
supported on bright power point of sale
and then eBay and Amazon themselves
don't have the concept of product
customization if you want to charge
extra for the actual work completed or
the embroidery what you could do is you
could actually create a non-stop tracked
item and give it a price and then added
here is a line what I've done is I've
actually assigned this particular
product to have a separate accounting
code to the benefit of creating a
separate product is that you can
actually track the sales of that
particular service as well so we're now
ready to go into production what I'm
going to do is I'm going to assign this
to a staff member and then I've actually
added some extra custom fields specific
to printing and there's a separate video
that shows you how to create custom
fields so we've got a completion date
and then we've got some other
information hit email / print to print
the work order and what I've done here
is I've actually created a work order
template earlier so let's just choose
that where we can see who it's assigned
to the completion due date and any other
information we can also see a customized
product table the quantity to skew the
item name and then three custom columns
for the three printing stages that one
step 2 and step 3 and there are no
prices to see how to create and edit
templates like this have a look at the
video titled order quote and invoice
templates once we've printed the work
order we're ready to hand over to our
printing team so let's update the status
to work in progress and that's a custom
status I've created and then save taking
a look at the order status setup screen
you can see that when anybody updates an
order to the work in progress status our
printing team will be sent an email when
the printing team is done what they'd do
is they'd drop into this sale update the
status to something like print complete
and that would notify your fulfillment
team who would fulfill these sales
orders either from the sale itself or in
batch from the sales list when I invoice
the sale the revenue is recorded on my
income statement or profit and loss
report
I've got two lines here we've got one
line the merchandise sales for the red
bubble hat itself and then we've got a
line for the service sales because I
added that embroidery line as well we've
got the cost of goods sold and that's
the cost to us of the bear redbubble hat
what was not accounted for here is the
actual embroidery labor and there are
two options firstly you're paying your
existing staff to do the work and in
that case the cost will appear on your
ledges through wages entries later and
secondly you're paying a supply to do
this on your behalf in this case what
you do is you create a purchase order by
cloning the sale so here we are in the
original sales order and what I'm going
to do is actually just clone the
embroidery cost because we already have
the red bobble hat in stock I don't need
to place a purchase order for that so
let's click clone to purchase order
choose my supplier and they're going to
deliver goods back to my main warehouse
I'll give them a little bit more
information on this line item so it's
going to be for red bobble hats Elliot
minor logo insights large quantity 10
and then whatever price they're going to
charge me for it and save changes the
benefit of creating this purchase order
by cloning is that you can get back to
the original sales order simply by
clicking the parent order link this also
appears in the notes and history tab we
can see that it's been cloned from the
sales order you'd email the purchase
order off with whatever template you
wanted and then when the supply sent you
the invoice for the work you'd receive
the invoice against it
because I created a new account code
called embroidery expenses when I
created the embroidery product we can
see that the cost of that embroidery
with the supplier is now being put
against the embroidery expenses code on
my income statement or profit and loss
report let's take a slightly different
scenario where we're just going to sew a
badge on to a hat now this badge is
actually a physical item and if you
wanted to you could track inventory of
the badge itself you're probably going
to place purchase orders with a supplier
for it and it's going to have value so
that's well worth doing assuming we're
not going to pre make any of these
Ferrari hats it's pretty much exactly
the same as the previous example but
instead of adding an embroidery cost
what I'm actually going to do is add the
badge and here we can see that I've got
243 of the badges on hand I'm not
actually going to charge for them
however this is purely to assign a cost
of sale and an inventory update on the
other hand if we are going to pre make
these hats and it's not customization
and what we can see here is that we
actually have six different variations
of the product where I've put logo as
one of the options because each of these
different options can't be taken apart
once they've been embroidered and each
of these variations has got its own skew
and its own inventory level this is
where we're pre building a buffer of
inventory of a finished good from
separate components so what we do is
remove inventory of the badge remove
inventory of the base hat and add
inventory of the hat with the relevant
logo so to sum up customization is done
by editing the line item description on
the sales order itself orders downloaded
from sales channels will add custom
options into the description
automatically you can add extra lines
which might be labor or parts manually
print work orders and use order statuses
as you see fit use a purchase order to
record the cost of labor but only when
the labor is not already accounted for
by wages and that takes us to the end of
the video where we look at customizing
products
