Products: Bundles on Purchase Orders Video Lecture | Using Brightpearl: Product Management - Data & Analytics

this is a video that shows you how
bundles work with purchase orders in
Brightpearl
so in this video we're going to use an
existing bundle of products and to see
how to create new bundles have a look at
the bundles on sales orders video we're
going to purchase these bundles for a
purchase order and then receive
inventory for the PIO so just to remind
us what bundles are they're primarily a
tool for sales ie a way to combine
different inventory items on a sales
order and these inventory items can be
sold to other customers all the way up
until the point that the bundle is
purchased which means that they're not
used for assemblies or for manufacturing
the components are only packed together
at the last minute when we're working
with purchase orders we're always
working with the inventory items because
those are the ones that have the asset
value the cost we're going to use this
example of a tennis racket bundle which
contains one tennis racket or one pack
of three balls in this particular case
the bundle is also available for pass
supplier and we're going to use the
bundle method because these two items
are fairly loosely coupled only
associated with each other they're not
physically connected to each other so
they're not built if you had to buy a
product from the supplier that was
actually one item that needed to be
disassembled then you'd use the
disassembly technique so in Brightpearl
let's create a new purchase order
just as though you were adding standard
products to the order to search for the
item code if I search for ten here we've
got our tennis racket with three balls
it's only when I saved the order that
the bundle components are added because
this is a purchase order and the cost
price of the goods is much more
important than the sale price it's the
cost price of the components that have
been added to the purchase order if I
want to buy ten of these I change the
quantity to ten and you can see that the
quantity of the components has also been
updated let's save this purchase order
and receive the infantry when I go to
receive inventory you can see that it's
only the stock tracked items where we
can receive stock the purchase order has
now been fully received which shows this
little brick here is green so that's
fairly straightforward if you're just
receiving the purchase order into
Brightpearl things get a little bit more
complicated if you actually wanted to
send this purchase order to your
supplier because the purchase order will
show all of these and there's potential
for it to get a bit confusing so when I
click email print which is what you do
to send it to your supplier you can see
we've got all three rows on here we've
got the tennis racket with three balls
which is the bundle and the back of
tennis balls and the tennis rackets so
if they're not careful they could send
you more than what you actually need so
what we generally recommend on purchase
orders is you hide the bundle line and
we do that by editing the template go to
HTML mode and then right at the very top
of your template paste in a little bit
of stylesheet code div CSS and then save
next time you print the purchase order
you can see that the top line the bundle
line is not showing so what you're
actually doing here is ordering the
components from the supplier rather than
the bundle itself and if you really
wanted to show a purchase order for the
supplier purely with bundles then you're
probably best doing that outside of
Brightpearl and the reason we always
work with the stock items or the
components only when we're purchasing is
because each separate item has to have
its own cost price the cost of sales
reporting
and accurate accounting so when we buy
these items separately the tennis balls
cost five pounds and the tennis rackets
cost ten but let's say the supplier is
actually charging us twelve pounds for
the special deal the tennis racket with
three balls rather than fifteen so what
I need to do is figure out how to split
that twelve between my products and the
way you do that is completely up to you
so let's say in this particular example
I'm going to make the tennis racket
itself eight and the packs four so that
gives me a 12 pound combined value for
the bundle
let's save changes so that when I
receive the invoice from the supplier
the total invoice value matches the
total value of my component parts now
it's best to do this before you receive
the inventory because the value you put
on here when you receive the goods is
the value that goes onto the accounting
system and then the subsequent cost of
sales and your profit and loss report if
you find yourself regularly buying cases
of items from suppliers and wine is a
good example you might want to be
looking at the assembly technique
instead of the bundle technique and to
